The Receptionist provides front-line reception, clerical and cashier support at the Rainbow Recreation Centre on Salt Spring Island. This involves providing information on department programs, special events and facilities and receiving funds for program admission, registration, rentals, lesson bookings and cash handling. The position also requires training in emergency procedures such that the employee can perform in a support role. Work schedule will vary based on operational needs, including weekday and weekend shifts as well as the ability to work flexible hours, including early mornings and evenings.

This position requires an acceptable criminal record check. The applicant/incumbent will be required to undergo a criminal record check in order to work in this position and to report to their supervisor if any criminal charges are laid against them that may be related to their employment in this position.

Duties & Responsibilities
• Provides counter and phone reception services to the general public and staff.
• Receives and directs customer inquiries regarding facilities and programs to appropriate staff.
• Provides program and schedule information to the general public.
• Processes admissions, program registrations, bookings and retail sales, ensuring balanced payments and transactions.
• Responsible for using the recreation software for program registration, ensuring accurate data input for family and organization accounts.
• Maintains a community contact list and organizes facility bulletin boards.
• Provides program support services including production and distribution of brochures and related marketing and promotional information.
• Performs clerical duties including routine correspondence, typing and photocopying as required, advertising material, policy and procedure manuals and special event materials.
• Proofs and edits various marketing publications and brochures.
• Assists in maintaining office filing system.
• Assists program and administration staff with special projects as required.
• Performs cash handling duties such as bank deposits, securing all cheques/cash in safe and closing POS machines at end of shift.
• Assists with purchasing, control and maintenance of inventories including pro shop, and office supplies.
• Maintains Lost & Found inventory.
• Knowledge of emergency procedures assistance in responding to emergency situations including first aids and facility evacuations.
• Follows all policies, procedures and standards of the CRD.
• Performs other related duties as required.

• High School graduation supplemented by courses in typing and general office practices and one year experience in general office and receptionist work.
• Experience with cash handling, familiarity with office equipment.
• Knowledge of software such as MS Outlook, Word and Excel.
• Knowledge of PerfectMind software considered an asset.
• Standard First Aid considered an asset.
• Excellent communication (verbal and written), interpersonal and customer service skills are required.
• Proficiency and experience with communication software (MS Outlook), word processing (MS Word), spreadsheets (MS Excel) and presentation software (MS PowerPoint).
• Knowledge of office routines and procedures related to filing, record keeping and routine clerical duties.
• Exceptional experience in communicating with the public, in person and by phone.
• Ability to respond professionally to queries in person, over the phone and via email.
• Ability to build and maintain collaboration and positive working relationships.
• Ability to work well both independently and within a team environment.
• Exceptional ability to handle multiple tasks.
• Ability to handle and reconcile cash.
• Ability to use a cash register and basic office equipment.
• Ability to handle multiple incoming phone calls.
